As with all letters, particularly formal ones, you will need to plan what it is you want to say. It is possible that you have an idea but when it is just a notion in your head it is all too easy to panic and not know how to begin.

  • Planning your letter

Instead of that scenario, make some notes of what it is that you think that you want to include in your letter. It does not matter at this stage whether they are not in any coherent order because that stage can come later.

It is possible that you will find, as you start to make notes, that you will think of other things that you would like to include, or it is possible that the exercise will just make things clearer and give you some kind of structure.

Once you are happy with the points that you want to make, number them in the order that you would like them to appear in your letter. Make sure that they flow from one to another so that your letter flows instead of jumping around all over the place.

  • Formal letter

Formal letters require a particular structure. If you are not certain how to do this there are plenty of sites on the Internet that will be able to help you. You will find that there are a variety of styles, but the one that you choose will down to your personal preference. Just make sure that it is appropriate to the task in hand.

  • Length of your letter

The last thing that your reader wants is pages and pages that they have to trawl through, so make sure that your letter is as precise as you can possibly make it and keep to a maximum of two pages, although less is better.
