A receptionist has many duties that range from being friendly and polite, to other defined duties such as organizing work activity, basic accounting and updating the management on scheduled appointments and meetings.  A receptionist is ever busy and one of the major duties is answering calls.

For one to become a receptionist, that particular candidate has to hold at least a high school diploma. Although a receptionist’s qualification is comparatively lower than other professions, receptionists have more duties than any other profession.

A receptionist has duties that are much similar to those of a secretary, with the difference being that a secretary has to manage the work of her immediate boss as opposed to a receptionist who manages work for the whole organization.  So, in addition to the qualifications possessed by a receptionist, he or she has to have extra qualities and skills such as; confidence, be organized, have an ability to multi task and have a sense of calmness.

Main Duties

One of the main duties of receptionist is to receive the company’s incoming visitors.  Everyone who comes to any organization first passes through the reception, where they can be told whether the person they are looking for is in or not. A receptionist should follow job and telephone etiquette such as not getting involved in conversations with visitors and being polite over the phone. 

Answering Calls

In addition to being dependable, a receptionist is also responsible for the answering of calls and this has to be done in an etiquette and professional manner. He or she has to direct all calls to their respective recipients and deliver all messages to the employer.

Paperwork

Performing a lot of paperwork is among the line of duties for a receptionist.  A receptionist has to make sure that every visitor fills in the register at all times, and also deal with matters involving data entry.

Other tasks performed by a receptionist include; setting up appointments, sending emails and faxes, collecting fees, making reservations and so on.

The main duty of a receptionist (by definition) is to answer phones and greet visitors (hence the word prefix "reception"). These days receptionists can be expected to do other tasks such as: data entry, filing, typing documents, and other miscellaneous clerical tasks. Don't be surprised if you are asked to get coffee - or run errands (this is common in some businesses).

The key to understanding the duties of any job is to have a clear "job description" before accepting a position. Always be prepared to be flexible in any position (this will make you a more valuable employee). If the demands for additional work make it difficult to answer the phone and greet visitors (if applicable), then politely discuss this with your manager.

If you are uncomfortable with what you are being asked to do - maybe you should consider seeking employment elsewhere (which would be your decision).

Make reservations and cancellations for guests over the phone by letter ,fax  or e-mail and face to face. They also allocate rooms and hand out keys to guests or porters

I am an administrative receptionist . I answer the phone, take messages, schedule appointments,
open  and dispense mail, type letters, data entry, filing, when customers make purchases, I receive the checks, and give them receipts, order supplies,schedule guests for board meetings, contact the media for company events, have plaques engraved when needed, arrange catering for dinner functions,take lunch orders each day, run errands, and make coffee.

I work at an adopttion agency and yesterday a lady called in for the owner, she and i hit it off over the phone, she was very nice. She in turned told my boss that i am very nice and so on. Today i find out that the lady called and left a messaged for me to have a nice day, the director told me that the owner was mad, so my direct boss told me not to be so friednly to people...i also have csr experince and i take talking to people with kindness very serious, why would the owner be mad..

Reply to Fancy: I have worked in customer service too. The company usually does'nt want you to get too close to customers; because you are supposed to keep the companies best interest at heart. They may feel there would be a conflict of interest, if you became "friends" with a customer. You sometimes have "inside information " you should not divulge to a customer.
Keep smiling, and help customers as best you can; but we do have to remember who pays our salary.

Being a robot and doing as told blah how boring l.o. L 's but it's a pretty good paying job but mainly depends on where your working( like company wise )
